IBS at the 2005 CE Golf Tourney
Focus on Community Enterprises
Established
as a
non-profit corporation
in
1975
and headquartered at 441 Pleasant Street in Northampton,
Community
Enterprises
serves over 1,500 individuals with disabilities annually
through employment services and community living via
their 225 employees in fourteen
offices in Massachusetts, Connecticut and New York.
IBS has
been proudly supporting their efforts for over eight
years, providing IT support services, custom-developed
software, and financial support of their annual golf
tournament and other fundraising events. This
edition of the IBS Newsletter is dedicated to our
friends at CE, and the fine work they do!

Announcing an addition to the IBS
staff
IBS is happy to announce the addition of Jason
Deraleau to our technical staff. While the
addition of a
third Jason is sure to cause a little confusion,
he is the fourth Microsoft Certified Systems Engineer (MCSE)
on our staff. In addition, Jason is also an Apple Certified
Technical Coordinator and Apple Certified Portable
Technician, and holds CompTIA A+ and Network+ certifications.

Jason brings to IBS over seven years professional
experience with Information Technology. In
addition, Jason has experience as a technical writer,
co-authoring Running Mac OS X Tiger, and is a
contributing author on the O'Reilly Network -
a well known chronicler and
catalyst of leading-edge technology trends.

Tech Review - CE relies on IBS as their IT Department

Outsourcing IT support to IBS provides consistency to their
technology environment
Like many
companies, with their technology infrastructure expanding through
the mid-90s, Community Enterprises hired an in-house Information
Technology coordinator. However, they found that turnover in
the position was quite high, and the lack of consistency lead to a
myriad of problems with their technology infrastructure. |

Software Focus -
Simplifying the payroll process for CE
|
|
|
|
In 1999, Community Enterprises asked IBS if we could help solve a
business problem they had concerning their processing of payroll. CE’s main
payroll office was receiving 1,000 faxes every week with
timesheets and related information from the branch offices. They had to manually
enter the timesheets into the ADP payroll system, a process that
was both cumbersome and time consuming. |

At the time of
the request, most of these offices did not have Internet access,
limiting the options for electronically submitting the payroll
information. With that consideration, IBS custom-developed a
remote data entry system to be installed in each of
the branch offices so that the timesheet data for that branch could
be entered locally. Each branch office would then transmit the
timesheet information via direct modem connection, or via the internet
where available, to a central computer at
the payroll office. After verifying the branches transmission,
the application creates an export file that can be imported
directly into the
ADP software for payroll processing.
As part of the
data transfer process, the branch
location application automatically downloads data from the
payroll office each week so that it always has a current list of
its employees. When entering timesheets, the list of employees
is already on the screen and only the hours need to be entered.
The program can handle flat hourly rates or special rates based
on job codes as well as piecework when conducted.
Several of the
branches operate as temporary employment contractors. A second
module was added to help those branches do their billing based
on the number of hours worked. This module enables the branches
to generate invoices from the timesheet entries. A third module
enables detailed record keeping on the clients and contractors,
hours worked and billed, and skills that the contractors have.
A query engine enables the users to pull up a list of available
contractors based on skills, availability and other factors. |
